Connect your email
Link your Gmail, Outlook or other mailbox so client email sends from your own address and sits beside your trips.
Who can do this: Owner, staff, admin and agent roles. Each person connects their own mailbox.
Before you start
- The mailbox's address and, for Other email, its password and its mail server details.
Steps
- Open Settings and choose "Channels".
- Choose "Connect" on the Gmail tile, the Outlook tile, or "Other email" (any IMAP mailbox).
- For Gmail or Outlook, sign in at Google or Microsoft and approve both reading and sending email. Leave both boxes ticked.
- For Other email, enter the address, the password, the incoming server and the outgoing (SMTP) server, then choose "Test connection" and connect.
- Wait for "Your email is connected. The last 30 days are being brought in."
- Open Email under Messages in the left menu to read your mail. Link a conversation to a trip or client with "Link to record".
What you will see
- Your mail stays private to you. Other advisors and support staff do not see it.
- Client email you send from CloudCape goes from this mailbox when it is connected and healthy, and the replies stay in the same thread.
- You can connect one mailbox at a time. The other tiles show "One mailbox at a time" until you disconnect.
- In the Email card you can switch on matching known travellers' email to their upcoming trips, and spotting supplier confirmations.
Common problems
"Email is not set up on this server yet."
Gmail and Outlook connections depend on how your CloudCape server is set up. Ask your administrator.
"Your organization needs an administrator to approve this app".
Ask your Microsoft 365 administrator to grant consent, then connect again.
"Your email needs to be reconnected."
You can still read your mail, but replies and new mail are paused. Choose "Reconnect".
"That email address is already connected by someone else in your agency."
One address can only be connected once per agency.
New mail is slow to appear.
Mail is brought in on a schedule your server runs. If it never updates, tell your administrator.
How do I disconnect?
In the Email card choose Disconnect. The copy of your mail kept in CloudCape is removed; your mailbox itself is not touched.
