Help / Leads, clients and travellers
Build an intake form and share it
Start from a template, publish the form, send the link, and read the answers on the trip and the person.
Steps
- Open Settings and choose "Forms". Under "Start a new form" choose "Use this starter" on Trip inquiry, Client profile, Pre-travel check-in or Welcome home survey, or "Start blank".
- In the editor, set the "Form title", the "Type" (Custom, Client profile or Trip request) and an optional "Introduction".
- Add questions with "Add a question...". Types are Short text, Long text, Single select, Multiple choice, Information block, Traveller details, Travel dates, Who is travelling and Budget. A group of profile fields (Your name, Email, Phone, Birthday, Anniversary, Address, Food and drink, Interests, Loyalty programs) saves onto the person. Choose "Save".
- Use "Preview" to see the page your client will see. Nothing you enter there is sent.
- Fix anything listed under the buttons, then choose "Publish". A trip request needs a name question and an email question; a client profile needs at least one profile field; every form needs at least one question.
- Copy the public link with "Copy link". It looks like /f/ followed by a long code.
- For one person only, use "Private one-time link": choose the Person, then "Create link". It works once and the answers go on that person.
- Or email the form: on a trip or a person's page, choose "Send form" and pick a published form.
- Read answers on the form's "Responses" tab, and choose "Mark N as read" when done.
What you will see
- A Trip request submission creates a new lead (stage New, source Website), a new trip, a "Reply to" task due in 24 hours, and a "New inquiry" email to the owner if that notification is on.
- A Client profile submission updates the person, found by email on the public link. Only the phone number is shown on the person's page; the other profile answers are kept and visible on the response card.
- Responses appear on the form's Responses tab, on the trip's Communication tab under "Form responses", on the person's page, and as a count on Home.
- Clients see one page at a time with a progress bar, and a "Thank you" screen at the end.
Common problems
"Please reword this question."
Questions that ask for card numbers, passport numbers or ID numbers cannot be saved. Clients are also stopped from typing card numbers into answers.
Publish is greyed out.
Read the checks listed beneath the buttons; each names what is missing. If you have unsaved changes, save first.
The link says "This form is no longer available."
The form is unpublished or archived, or a private link has been used. The link only works while the form is published; it stays the same if you unpublish and republish.
I edited a published form and it went back to Draft.
If an edit means the form no longer meets the publish checks, it returns to Draft until fixed.
Clients report "Too many submissions".
The public link allows 12 submissions per network address per 10 minutes. Wait and try again.
