Help / Payments
Request a payment from a client
Create a payment request or a schedule on the trip's Payments tab, then email the Stripe link or copy it to send yourself.
Who can do this: Owner, staff, admin and agent roles. The Member role can see the tab but not add or change payments.
Before you start
- Stripe set up on your server (see "How client payments are set up").
- A person linked to the trip, with an email address, if you want CloudCape to email the link.
Steps
- Open the trip's Payments tab. Under Billing, find "Add a payment request".
- Enter a "Name" (for example Deposit), pick a "Type" (Deposit, Final, Installment or Custom), enter the "Amount", the "Currency" if it differs from the trip's, and an optional "Due" date.
- Choose "Add request". It shows in the Billing table with the status Open. Nothing is emailed yet.
- To send it, choose "Email link" on that row. It becomes "Resend email" once sent. Or choose "Copy link" and send it yourself.
- To create several at once, use "Build a schedule": pick "Deposit, then final" (a deposit percentage, with the final due a number of days before the trip) or "Equal installments" (2 to 24). Choose "Create requests". The trip needs a start date.
- To cancel a request, choose "Void". There is no confirmation.
What you will see
- The email subject is "Payment request for", then the trip name, a colon and the payment name. It tells the client they can pay by card or by bank transfer (ACH), and that the page is hosted by Stripe.
- The email goes from your connected mailbox if you have one, otherwise through CloudCape's email service. It is recorded under the trip's Communication tab.
- The client link opens a minimal page and passes them to Stripe. It always charges what is still owed, and it does not expire.
- When Stripe reports a payment the status changes to Paid, with "(card)" or "(ACH)". Overdue shows when the due date has passed and the request is still open.
Common problems
"Link a person to this trip first, so the request has someone to go to."
Set the person on the When & budget tab, then try again.
The error says the person "has no valid email address".
Add an email to the person, or use "Copy link" and send it yourself.
"A request that has been paid cannot be voided."
Money has already been received through Stripe, so the request stays on record.
My client sees "Payment received" after cancelling at Stripe.
The return page shows that wording for both outcomes until the payment lands. Check the Payments tab for the real status.
"There is nothing to schedule: the trip total is zero."
Price the trip first. A schedule splits the total minus anything already requested or recorded.
