How client payments are set up
CloudCape takes client payments through Stripe, set up once for the whole CloudCape server by an administrator.
Steps
- Open Settings and choose "Channels". Find the Stripe tile, and the "Payments" card with the title "Stripe".
- Read the pill: "Connected" means the server is ready to take payments. "Not set up yet" or "Not connected" means it is not.
- If it is not connected, the note reads "An administrator connects Stripe for this server." Ask the person who runs your CloudCape server to set it up.
- Once it is connected, go to a trip's Payments tab and use "Request a payment".
What you will see
- There is no Connect button for an advisor to press. Stripe is configured once for the whole server, not per agency, so every agency on that server shares the one Stripe account.
- Clients pay on a Stripe-hosted page. CloudCape never sees card or bank numbers.
- Money paid is recorded on the payment request automatically when Stripe reports it.
Common problems
"Connect Stripe in Settings > Payments" appears on a button.
That hint points to a Settings section that does not exist. Stripe is shown under Settings > Channels, and an advisor cannot connect it. Ask your administrator.
"Email link" and "Collect" are greyed out.
The server has no Stripe key yet.
Settings says Not connected, yet payment links work.
The server may have the key but not the webhook secret. Payments could be taken but not recorded. Tell your administrator.
Does this collect card authorizations?
No. The payments feature creates payment links only. It does not store card details or collect card authorizations.
Is this the subscription I pay for CloudCape?
No. Your CloudCape subscription is in Settings > Billing and uses a separate Stripe account.
