Capture the trip brief
Record where, when and how much on the Where and When & budget tabs, so the rest of the trip works from one place.
Steps
- Open the trip and choose the Where tab.
- Fill in "Destination" (up to 200 characters) and "Itinerary preferences" (up to 5,000 characters). Choose "Save".
- Choose the When & budget tab.
- Set "Client", "Travel start", "Travel end" and "Budget". Choose "Save".
- Check the party size line. It reads from the Members roster and cannot be typed here.
What you will see
- Each tab has its own Save button, and shows "Saved", "Unsaved changes" or "Not saved". Unsaved edits survive switching tabs.
- Errors are pinned to the field: "Travel end must be on or after travel start.", "Budget must be an amount like 12000 or 12,500.50."
- Your travel start date puts real dates on itinerary days ("Day 2 - Mon, Jun 3"). The destination, dates, party size and traveller names go into a published proposal.
- When a trip came from an intake form, hints such as "As typed on the intake" show the client's own wording beside the dates and budget.
Common problems
Where is the Brief tab?
There is no tab called Brief. The brief is the Where tab, the When & budget tab and the Members roster together. A task called "Capture the trip brief" points to When & budget.
Does the budget set the price?
No. It is a planning figure. Prices come from price lines on the Proposal tab.
Does CloudCape build options from the brief by itself?
No. Your itinerary preferences are text for you to read. If you connect your own AI assistant it can read the brief and draft options for you.
"Pick a client from the list."
Choose a lead or client from the search list instead of typing a name.
