Set up your consultation booking page
Define your free consultation, open online booking, and see how clients book, change and cancel.
Who can do this: Only the owner, an admin or a superadmin can save the consultation settings.
Steps
- Open Settings and choose "Consultation & services".
- In "Consultation", set the "Name", "Meeting length (minutes)" (5 to 480), "Description", buffers before and after, "Minimum notice (hours)", "Book up to (days ahead)" and an optional "Video meeting link" that starts with https://.
- Add "Booking questions" if you want any, and mark which are required.
- Tick "Open for online booking" and choose "Save consultation". Nothing is bookable until you save at least once.
- Share your booking page: /book/ followed by your name in lower case with hyphens, for example /book/jane-smith.
- On a lead, "Book consultation" opens the page with the lead's details filled in, and "Copy link for the client" makes a link that works for 14 days.
What you will see
- Clients pick a time, give their name and email, answer your questions and see "You are booked". They receive a confirmation with a calendar file and a link to change or cancel.
- The owner receives a "Consultation booked" email unless that is switched off in Settings > Notifications.
- Clients get reminders 24 hours and 1 hour before, switched by "Consultation reminders" in the owner's Notifications.
- Open Bookings to see upcoming consultations, group-trip departures and your away dates. Mark a date range away with "Mark away".
Common problems
The page says "Online booking is not open yet."
Either the booking page has not been switched on for your CloudCape server, or you have not saved and opened a consultation yet.
Can I set my weekly working hours?
There is no screen for that today. You can close date ranges with "Mark away" on Bookings, and connect Google Calendar so busy time is blocked.
Can I cancel a booking for a client?
Bookings is read-only. Clients change or cancel with their own link; it follows your change rules and may say it is too close to the meeting.
"Services & fees" does not take payments.
It is an informational fee schedule. Nothing is charged when someone books. Collect fees with a payment request.
